We are committed to protecting your privacy in accordance with the laws of Ukraine and, where applicable, the General Data Protection Regulation (GDPR).
1. Data We Process
CertifyMeUA processes only the data required to generate and verify certificates, including online certificates, educational certificates, certificate course completion documents, professional certifications, and, where applicable.
The following data may be processed:
Data from XLSX files: Name, surname, email address, event name, event date, and other fields uploaded by the User to generate certificates via our certificate maker / certificate generator.
Certificate templates: JPG images used by the User as certificate backgrounds.
Service/verification data: When generating certificates with QR-codes, the system transmits technical metadata to the CertifyMeUA database, including hash, name, event_name, event_date, created_at
This information is required solely to enable online certificate verification via QR-code.
Technical information:
Browser data, IP address, cookies — only for system functionality and security.
CertifyMeUA does not store XLSX files or certificate images — only minimum fields necessary for validation.
2. How We Use Your Data
The data is used for:
- Certificate generation: Processing input files to create certificates (JPG, XLSX, DOCX), including for courses, training programmes, and professional certification workflows
- QR-code verification: Securely storing minimal service records for future authenticity checks
- Temporary in-browser storage: Using browser localStorage for uninterrupted workflow
- Technical analytics: Anonymised statistics and cookies to enhance performance and stability
We do not retain full personal datasets or the original XLSX files.
3. Sharing of Data
We do not share personal data with third parties.
Exceptions apply only if:
- Required by law: Requests from Ukrainian authorities within legal limits
- Anonymous analytics: Cookie-based traffic analysis (e.g., Google Analytics)
External platforms (e.g., Google Forms, Dropbox) may be referenced on the Site; CertifyMeUA is not responsible for their privacy policies.
4. Cookies
CertifyMeUA uses cookies for:
- Core website functionality
- Saving User settings
- Anonymous traffic analytics (e.g., Google Analytics, Matomo)
Users may disable cookies in browser settings, but certain functions may be limited.
5. Data Security
Most certificate-related operations occur locally in the User’s browser.
Security therefore also depends on User practices. We recommend:
- Using a modern, updated browser
- Avoiding files from untrusted sources
- Clearing browser cache and localStorage when finished
Service records stored on our server (for QR verification) are kept in a secure, access-restricted database.
6. User Rights
Users have the right to:
- Know what data CertifyMeUA processes
- Request deletion of verification data if a certificate is no longer used
- Request database removal through official contact channels
- File a complaint with authorised data protection bodies
7. Policy Updates
We may update this Policy when service functionality or processing methods change.
Updates take effect upon publication on this page. Continued use of the Site indicates User agreement.
